EVENT COORDINATOR : Karlitz & Company

LOCATION : Must be based in the New York City or Tri-State areas .

HYBRID : will be in the NYC office up to three days a week.

Job Description

The Event Coordinator role is an entry level position that provides critical support to the team at Karlitz & Company.

  • Administrative and onsite support on high-end experiential activations from intimate to broadscale, with a focus on luxury culinary, entertainment and lifestyle verticals.
  • Assist with travel/transportation logistics, five-star hotel room block management, gifting, activity conceptualization, onsite planning and execution.
  • Accounting support including team expense submissions, invoicing, payments, organization, and tracking.
  • Take an active role in client calls and meetings by taking notes and providing call recaps.
  • Create and submit event support documents including trainings, itineraries, guest lists, packing & shipping manifests.
  • Ordering/inventory of event supplies.
  • Travel planning and assistance.
  • Help secure cost estimates for various items/services.
  • Establish effective relationships and workflows across clients, partners, and multi-disciplinary teams in collaboration with agency leadership.
  • Sourcing of gift items, assisting with shipments, and preparation of gift bags.
  • Work across a diverse set of projects simultaneously, planning and executing assignments that are on strategy, on time and on budget.
  • Ensure pre-event and on-site servicing of clients and high net worth guests are impeccable and adhere to best practice standards.
  • Travel (domestically and internationally) and work nights and weekend events as needed.

Minimum Qualifications and Skills

  • Heavy business travel; candidate must be willing to travel - 30% - 50% travel time annually.
  • Interest in restaurants, food, wine and spirits.
  • Interest in high end, high touch exclusive experiences.
  • 1-2 years of relevant professional experience.
  • Experience in event management, customer and/or client servicing a plus.
  • Ability to prioritize and manage multiple projects and deadlines in a fast paced, dynamically changing environment.
  • Solid written and verbal communication skills.
  • Proficient in Microsoft Suite on PC including Excel, PowerPoint, Word, Adobe.
  • Keen eye for detail combined with passion for accuracy and quality in all work.
  • Polished, professional demeanor; projects confidence and enthusiasm for the business.
  • Unquestioned work ethic and great organizational skills.
  • Ability to interact in a highly collaborative manner.
  • Solutions-oriented and creative problem solver.
  • Travel (domestically and internationally) and work nights and weekend events as needed.
  • Bachelor's Degree
